| Identity | Full name, date of birth | Eligibility verification and application assessment |
| Contact | Email address, phone number, postal address | Communication about your application and the Programme |

3. Legal Basis for Processing
We process your personal data on the following legal bases under the General Data Protection Regulation (GDPR):
Contract: Processing necessary for the performance of a contract (your application to the Programme) — this covers identity, contact, business, and financial data.
Legitimate interests: Processing necessary for our legitimate interests in operating and improving the Programme and Website, provided those interests are not overridden by your rights — this covers technical data and analytics.
Consent: Where you have opted in to receive marketing communications or promotional updates beyond those directly related to your application.
4. How We Use Your Data
We use your personal data to process and evaluate your application to the Ferraldo Grant Programme, communicate with you about the status of your application, process your application fee payment via Stripe, administer grant awards to successful applicants, improve the Website and Programme based on aggregate analytics, comply with legal obligations, and send you marketing communications where you have consented.
5. Who We Share Your Data With
We share your data only with the following categories of recipients, and only to the extent necessary:
Judging panel: Your application materials (excluding payment data) are shared with our independent judging panel for the purpose of assessment. Panel members are bound by confidentiality obligations.
Service providers: We use Typeform (form hosting), Stripe (payment processing), ConvertKit (email communications), Netlify (website hosting), and Google Workspace (email and document management). Each provider processes data on our behalf under a data processing agreement.
We do not sell, rent, or trade your personal data to any third party for their own marketing purposes.
6. International Transfers
Some of our service providers (Typeform, Stripe, ConvertKit) are based in the United States. Where your data is transferred outside the European Economic Area, we ensure appropriate safeguards are in place, including EU-approved Standard Contractual Clauses or the EU-US Data Privacy Framework, as applicable.
7. How Long We Keep Your Data
We retain your application data for 24 months from the close of the grant cycle to which you applied. This allows us to handle any post-award queries, comply with legal and tax obligations, and contact you about future grant cycles (subject to your marketing preferences). After this period, your data is securely deleted or anonymised. Payment records are retained for 7 years as required by Irish tax law.
8. Your Rights
Under the GDPR, you have the following rights in relation to your personal data:
Access: You can request a copy of the personal data we hold about you. Rectification: You can ask us to correct inaccurate data. Erasure: You can ask us to delete your data where there is no compelling reason for its continued processing. Restriction: You can ask us to restrict processing in certain circumstances. Portability: You can request your data in a structured, commonly used, machine-readable format. Object: You can object to processing based on legitimate interests. Withdraw consent: Where processing is based on consent, you can withdraw it at any time.
To exercise any of these rights, please contact us at hello@ferraldo.com. We will respond within 30 days. You also have the right to lodge a complaint with the Data Protection Commission (DPC) at www.dataprotection.ie.
9. Cookies
For information about how we use cookies, please see our Cookie Policy.
10. Children
The Ferraldo Grant Programme is open only to individuals aged 18 or over. We do not knowingly collect personal data from anyone under 18. If we become aware that we have collected data from a minor, we will delete it promptly.
